What to Do If Your Vietnam e-Visa Is Not Approved in Time

If your travel date is approaching and your Vietnam e-visa has not yet been approved, the steps you should take will depend on the status of your application and how soon you are due to travel. The information below explains common reasons for delay, what to do if your application is still pending, and what options may be available if your flight is only a few hours away.

Pending e-Visa Applications

If you have already submitted your e-visa application and more than 3 working days have passed, but the official website still shows “In Processing” or “Amended Application,” the application may have been delayed because of an error, missing information, or document quality issue.

Common reasons include:

  • incorrect or incomplete name details;
  • passport information entered incorrectly;
  • poor-quality passport scans or portrait photos;
  • missing middle names or name order mismatches;
  • unclear images, glare, shadows, or cropped passport pages.

Common Problems That Cause e-Visa Delays

Incorrect or Missing Name Details

Delays often occur where the applicant’s name is not entered exactly as shown on the passport. This includes cases where a middle name is omitted, the name order is incorrect, or a preferred or married name is used instead of the full legal name appearing on the travel document.

Errors in Passport Information

Applications are also delayed where the passport number or other passport details are entered incorrectly. Common mistakes include entering similar-looking characters incorrectly, especially the letter “O” instead of the number “0,” or the letter “I” instead of the number “1.”

Poor-Quality Passport Scans or Photos

Delays may also result from low-quality uploaded images. Passport data page scans must be clear, in focus, and fully visible. Blurry, cropped, pixelated, or shadowed images are more likely to lead to amendment requests or delayed review.

How to Reduce the Risk of Delay

The most effective way to avoid delay is to ensure that the application is complete and accurate before submission.

Name Details

The full legal name should be entered exactly as it appears on the passport, including all middle names where applicable. Particular care is needed where the applicant usually uses a shortened name, preferred name, or a different surname format in daily use.

Passport Information

All passport details should be checked carefully before submission. The passport number, date of birth, nationality, and passport expiry date should match the passport exactly.

Passport Scan and Portrait Photo

The uploaded passport image should be clear, high-resolution, and show all four corners of the data page. There should be no glare, reflection, or shadow over the photo or personal details. The portrait photo should also be clear and suitable for identification purposes.

If Your Application Has Been Amended

If the official system shows “Amended Application,” the authorities have identified an issue that requires correction before the visa can be issued.

In this situation:

  • the applicant should review the requested correction carefully;
  • the amended information or replacement documents should be submitted as soon as possible;
  • some additional waiting time should be expected after the amendment is made.

Once an application is amended, the processing time may be extended. For that reason, prompt action and clear communication are important.
